1. Policy & Purpose

Western Wyoming Community College is dedicated to ensuring that all digital content and technologies utilized in our academic and administrative endeavors are accessible to individuals with disabilities, aligning with the Americans with Disabilities Act (ADA), Section 508 of the Rehabilitation Act, and other applicable laws and regulations. Our goal is to foster an inclusive digital environment that empowers all members of our community to fully engage, learn, and participate.

1. Procedure

Western Wyoming Community College (Western) is committed to complying with accessibility standards and guidelines, including but not limited to, the Americans with Disabilities Act (ADA) and Section 508 of the Rehabilitation Act of 1973. This procedure applies to all digital content and technology used both externally and internally by Western, including websites, web applications, instructional materials, documents, multimedia, software, hardware, and IT systems. All such content and technology must comply with the accessibility standards established by the ADA and Section 508.

Faculty and Staff Expectations

Faculty and staff are accountable for creating and maintaining accessible content within their respective areas. Regular training sessions will be conducted for faculty and staff on creating and maintaining accessible digital content. Online resources and tutorials will be made available for self-paced learning and reference.

Audits

The Section 508 Coordinator will conduct regular audits of digital content and technologies to identify accessibility barriers. A remediation plan will be developed to address identified issues, with a focus on timely resolution. Accessibility support services, such as assistive technology training and alternative format materials, will be provided to individuals with disabilities upon request through the Wellbeing & Accessibility Department.

Technology Procurement
Western, prior to the procurement of any Information and Communication Technology (ICT), will make an effort to acquire technology that is accessible. To ensure compliance, purchasers will complete the Accessibility Procurement Checklist. Relevant accessibility documentation related to technology procurement will be maintained by the Section 508 Coordinator for the span of the technology’s lifetime.

Exceptions to Digital Accessibility:

Exceptions must be in accordance with ADA and Section 508 regulations. Exceptions can only be granted by the Section 508 Coordinator.

Resolution Process

This resolution process ensures that Western addresses and resolves any concerns or issues related to digital accessibility in a prompt and effective manner. This process applies to all students, faculty, staff, and members of the public who interact with the college’s digital content and technology.

  • Submission of Concern
    • Submissions must include: a detailed description of the issue and how it affects access to digital content or technology.
    • Specific documents, web pages, or technology components involved.
    • Description of any steps already taken to address the issue.
  • Acknowledgement of Receipt:
    • Within three working days of receiving the concern, the Section 508 Coordinator will acknowledge receipt via the same communication method used to submit it.
  • Review and Resolution
    • The Section 508 Coordinator will review the concern, consulting with relevant departments as necessary.
    • Within ten (10) working days of the initial acknowledgement, the Section 508 Coordinator will develop a resolution plan to address the accessibility issue.
    • The resolution plan may include steps such as remediation of the digital content or technology, providing alternative formats, or other appropriate measures.
  • Communication of Resolution
    • The Section 508 Coordinator will communicate the proposed resolution plan to the individual who submitted the concern, providing details on the actions to be taken and the expected timeline for resolution.
    • The individual who submitted the concern will have five (5) working days to provide input regarding the proposed resolution plan.
  • Follow-up
    • After completion of the implementation plan, the Section 508 Coordinator will follow up with the individual to confirm the issue has been satisfactorily resolved.
  • Escalation and Appeal
    • If the concern is not resolved to the satisfaction of the individual, they may request that the concern be escalated to the VP for Administrative Services.
    • The escalation request should be submitted in writing and include reasons for the dissatisfaction with the initial resolution.
    • The VP for Administrative Services will respond to the escalated concern within ten (10) working days with a final decision.
  • Record Keeping:
    • The Section 508 Coordinator will maintain records of all concerns, reviews, resolutions and follow-up actions.
    • These records will be used for continuous improvement of digital accessibility practices.
